Dearist Finder: Terms of Service

Program: Dearist Finder |  Company: Chapter Group LLC

Effective Date: September 1, 2026

These Terms of Service (“Terms”) govern participation in the Dearist Finder program (the “Program”), operated by Chapter Group LLC (“Company,” “we,” “us,” or “our”).

The Program is designed to allow children to participate in a supervised pen pal experience through participating brick-and-mortar retail locations (“Participating Retailers”). A parent or legal guardian (“Parent/Guardian”) must register and authorize participation on behalf of each child.

By affirmatively accepting these Terms, the Parent/Guardian agrees to these Terms on behalf of themselves and authorizes the participating child’s participation in the Program.

1. Program Structure

The Program allows children to exchange physical letters with other participating children through Participating Retailers.

The Program is designed so that:

  • children do not exchange home addresses with one another;
  • Participating Retailers serve as designated collection and/or distribution points for correspondence;
  • Parents/Guardians provide authorization for their child's participation;
  • Participating Retailers collect only the minimum personal information reasonably necessary to administer the Program;
  • Company and Participating Retailers may use Program procedures designed to protect children's privacy and safety; and
  • correspondence is handled through the Program's designated process rather than by direct exchange of residential addresses.

The exact services provided by each Participating Retailer may vary.

Program-Designated Correspondence Address

The Dearist Finder program is designed so that participating pen pals correspond with one another using the designated mailing address of a Participating Retailer. The Participating Retailer’s address serves as the Program-designated correspondence address for receiving and distributing pen pal correspondence.

Correspondence between participants that is sent to, from, or through an address other than a Participating Retailer’s designated Program address is outside the scope of the Dearist Finder program. The Company and Participating Retailers are not responsible for correspondence exchanged outside the Program’s designated correspondence process and do not represent that such correspondence is subject to the Program’s procedures, safeguards, or information-handling practices.

The Program does not authorize or facilitate the exchange of participants’ residential addresses, personal telephone numbers, personal email addresses, school addresses, social-media contact information, or other direct-contact information for purposes of communicating outside the Program’s designated retailer-based correspondence process.

2. Parent/Guardian Registration and Authorization

A child may participate only after registration and authorization by a Parent/Guardian.

The Parent/Guardian represents and warrants that:

  • they are the child's parent or legal guardian, or are otherwise legally authorized to authorize the child's participation;
  • the information provided during registration is accurate;
  • they have reviewed these Terms with the child in an age-appropriate manner;
  • they understand how the Program operates; and
  • they authorize the child's participation in the Program.

The Parent/Guardian acknowledges that the Program maintains a separate Privacy Policy describing its collection, use, disclosure, security, retention, and deletion of personal information.

Any legally required parental consent concerning the collection, use, or disclosure of the child's personal information will be obtained through the applicable consent process.

A Parent/Guardian may withdraw their child's participation at any time by contacting the Participating Retailer where Program registration occurred.

3. Eligibility

The Program is intended for children between 2nd and 8th school grade, unless otherwise specified by a particular Program offering.

We may establish school grade or other eligibility requirements for particular Program groups or matches.

We reserve the right to decline or discontinue participation when reasonably necessary to protect children, maintain appropriate matching, comply with applicable law, or administer the Program.

4. Information Collected

The Program is designed around data minimization. We intentionally limit the personal information collected from participating families.

When a Parent/Guardian registers a child, the Participating Retailer may collect only the following information for Program purposes:

Parent/Guardian

  • Parent/Guardian full name;
  • Parent/Guardian email address;
  • information necessary to process or administer the registration and, where applicable, payment.

Child

  • Child's first name or approved nickname;
  • Child's current school grade.

The Program does not require the collection of the child's date of birth or exact age.

The Program also does not require the collection of a child's:

  • home address;
  • telephone number;
  • personal email address;
  • school name;
  • teacher's name;
  • classroom information;
  • social-media username or account;
  • government identification number; or
  • other information that is not reasonably necessary to operate the Program.

The child's current school grade may be used to facilitate appropriate Program matching and administration. Grade information is not intended to identify the child's specific school, classroom, teacher, or location.

We will not ask children to provide their own contact information to another participant.

5. No Exchange of Residential or Direct Contact Information

The Program is specifically designed so that participating children do not need to exchange residential addresses or direct contact information.

Participants must not request or provide another participant's:

  • home address;
  • telephone number;
  • personal email address;
  • school address;
  • classroom or teacher information;
  • social-media account information;
  • other information intended to permit direct contact outside the Program.

Correspondence must be handled through the Program's designated Participating Retailer process.

Parents/Guardians should encourage their children not to include sensitive personal information in letters.

6. Parent/Guardian Authorization

A Parent/Guardian must register the child and authorize the child's participation before the child may participate in the Program.

By affirmatively accepting these Terms, the Parent/Guardian confirms that:

  • they are the child's parent or legal guardian, or are otherwise legally authorized to authorize participation;
  • the information they provide is accurate;
  • they authorize the child's participation in the Program;
  • they understand that the Program collects limited information as described in the Privacy Policy;
  • they understand that the Program is designed not to require children to exchange residential addresses or direct contact information.

Where applicable law requires a particular form or method of verifiable parental consent for the collection, use, or disclosure of a child's personal information, the Company will use a consent process designed to satisfy those requirements.

7. Use of Personal Information

We use Parent/Guardian and child information only for purposes reasonably necessary to operate and protect the Program, including:

  • registering families;
  • verifying and documenting Parent/Guardian authorization and consent where applicable;
  • administering participation;
  • facilitating appropriate pen pal matching;
  • communicating with Parents/Guardians about the Program;
  • administering Participating Retailer relationships;
  • providing customer support;
  • addressing safety concerns;
  • preventing fraud, abuse, or misuse;
  • complying with legal obligations;
  • maintaining necessary business records.

We do not sell children's personal information.

We do not use children's personal information for targeted advertising.

We do not permit Participating Retailers to use children's personal information for their own unrelated marketing, advertising, customer profiling, or solicitation.

8. Information Shared with Participating Retailers

Participating Retailers may receive or access only the information reasonably necessary for their role in administering the Program.

A Participating Retailer may not:

  • sell Program participant information;
  • use child information for unrelated marketing;
  • use child information to build customer profiles;
  • contact participating children outside the Program;
  • attempt to identify a child's school, home, or family;
  • disclose child information to another participant except as expressly authorized by the Program;
  • retain Program information longer than permitted by the Company's applicable retention requirements.

The Company may provide Participating Retailers with operational instructions governing the collection, handling, storage, access, and destruction of Program information.

9. Data Retention and Deletion

We will retain personal information only for as long as reasonably necessary to fulfill the purpose for which it was collected, comply with applicable legal or accounting requirements, resolve disputes, enforce agreements, maintain appropriate safety records, and otherwise administer the Program.

When a child leaves the Program, we will delete or de-identify the child's personal information when reasonably practicable, subject to information that we are required or permitted to retain by law or that is reasonably necessary for legitimate safety, legal, fraud-prevention, or recordkeeping purposes.

Participating Retailers must follow the Company's instructions regarding the retention and secure deletion or destruction of Program information.

10. Parent/Guardian Rights

Subject to applicable law and reasonable identity verification, a Parent/Guardian may contact us to:

  • request access to personal information we maintain about their child;
  • request correction of inaccurate information;
  • request deletion of their child's information;
  • withdraw consent for continued participation;
  • ask questions about how their child's information is collected or used.

Requests may be submitted to: info@hellodearist.com

We may take reasonable steps to verify that a person requesting access to or deletion of a child's information is the child's Parent/Guardian or otherwise legally authorized to make the request.

11. Children's Correspondence

We ask Parents/Guardians to discuss with their children what information they feel is appropriate to provide voluntarily, including sensitive information, in letters.

The Program may provide children and Parents/Guardians with age-appropriate guidance regarding information that should not be included in correspondence.

Correspondence will be handled through the Program's designated Participating Retailer process. The Company and Participating Retailers do not routinely review the substantive contents of children's correspondence.

The Program may take reasonable administrative or safety measures concerning the handling or routing of correspondence when necessary to operate the Program or comply with applicable law.

12. Privacy Policy

Our Privacy Policy provides additional information regarding the collection, use, disclosure, security, retention, and deletion of Parent/Guardian and child information.

The Privacy Policy is a separate privacy notice and should be reviewed before registering a child for the Program.

Nothing in these Terms limits any privacy right or protection provided by applicable law.
